Planning a workplace gym: from staff needs to an equipment list
Define a workplace gym, select a useful equipment mix and coordinate the space with work schedules and day-to-day operations.
A workplace gym needs to reflect how people use the building. A room used mainly before work has a different demand pattern from one used throughout the day. Before choosing equipment, bring together human resources, building management and whoever will operate the room.
Plan around usage times and requested activities, with clear operational ownership.
Gather information that supports decisions
A short survey can identify requested activities, preferred times and barriers to using the facility. Distinguish general interest from expected attendance at specific times. In an existing facility, combine feedback with observations. The useful output is a set of priorities, not a promise to supply every machine mentioned.
Choose a mix and check simultaneous use
Allocate cardio, strength and open movement space according to the brief. Walk through a group arriving together: does a shared station create a queue, is there room beside benches, and can storage be reached without crossing an exercise area? Versatile equipment can help, but the number of functions does not equal the number of simultaneous users.
Coordinate the gym with the workplace
Review proximity to meeting rooms, workstations and quiet spaces. Coordinate noise, ventilation, power, cleaning and equipment access with building management and the relevant designers. If showers or personal storage are needed, assess them as part of the complete experience before filling the available space with machines.
Assign responsibility after opening
Define opening hours, access, familiarization and fault reporting. Assign someone to hold equipment records and coordinate service. Before purchasing, confirm model suitability for the intended use and warranty terms. After opening, review actual usage and feedback before expanding: improving layout or access to familiarization may be more useful than another machine.
