How to prepare a gym equipment quotation request
The information behind an accurate quotation: models, configurations, a floor plan, installation and service scope, with fewer details left unresolved.
A precise quotation request reduces clarification rounds and makes alternatives easier to compare. You do not need to know every SKU in advance. Clarify what is selected, what remains open and what the supplier should complete. Connecting an equipment list to project information allows the quotation to cover installation and operation as well as machine prices.
A comparable specification defines both the equipment and the boundaries of supply and service.
Give the project context
State facility type, city, design stage, approximate area and desired timing. If timing depends on construction or approval, say so. Provide a plan when available and mark open questions. This distinguishes an initial budget exercise from a specification approaching an order.
Select equipment without guessing missing details
The site’s selection module can gather models, configurations and quantities. If the console or version is undecided, leave it for clarification and describe the requirement. A clearly flagged compatibility question is better than a guessed SKU. Move from the product dossier to its specifications and return to your selection list.
Define what comes with the equipment
Separate machines, accessories, flooring, delivery, installation and service. Check whether handles or plates are included with strength equipment and which console is included with cardio. Define design work, familiarization and software when needed. This avoids assuming that unstated items are included in the price.

Compare quotations on the same basis
Use the same fields for every supplier. Compare models and configurations, installation scope, commercial terms and service. A lower-cost alternative may be appropriate, but understand what changed. Keep optional additions separate from the base specification price.
Freeze a revision before ordering
After receiving the quotation, mark approved changes and check them against the layout. A replacement model can affect dimensions or infrastructure. The order should reference the agreed revision, approved SKUs and configurations, and confirmed delivery timing. The site selection is a request for follow-up, not an order confirmation or delivery commitment.
